Below is our rental contract. Please review this before committing to any of our services.

It is understood and agreed that this personal property is leased to the lessee by The Prop Shop and will be used by the lessee at the designated address for the stated period and solely for the purposes for which said equipment was manufactured and intended.

Lessor and Lessee agrees that delivered property was personally inspected and examined by the lessee and found to be in acceptable condition when received. Any exceptions must be noted at time of delivery. Any exceptions must be noted at time of delivery. Should Lessor request an inspection from Lessee of property prior to delivery, Lessee shall conduct such inspection prior to delivery. Should lessee decline to conduct an inspection prior to delivery, Lessor and Lessee agree that property shall be deemed acceptable by Lessor and Lessee.

Lessor further agrees that we hold The Prop Shop harmless from any liability whatsoever resulting from the use of said equipment and further agree that said property will be used solely by the lessee and/or persons herein designated and no other persons without the consent of the lessor of said equipment

Lessee further agrees that we will immediately discontinue use of any said equipment should same at any time, while in our possession become unsafe or in a state of disrepair, and will immediately notify The Prop Shop of said facts and the lessor in consideration of the mutual covenant, agree that it will with reasonable dispatch after receiving said notice, replace said equipment with other equipment in good working condition.

The lessee is responsible for identifying all underground services that may be affected by any tent installation. The lessee is responsible for all permits and local code compliance unless it is specified in rental contract. A minimum of 1 month notice for all permits.

All equipment must be stacked, racked, and ready for pick up. If the equipment is not ready for pick up as originally agreed, additional charges will be incurred including additional trips and/or waiting time. All equipment returns and counts subject to final verification by The Prop Shop staff at our facility. Should there be any missing or damage, one courtesy call will be made to the lessee to correct discrepancy. The discrepancy must be corrected within 3 business days, otherwise, the discrepancies will be invoiced and charged to Customer’s credit card held on file.

Dirty, damaged, or lost equipment: Customer agrees to pay for any damage to or loss of the goods regardless of cause, except reasonable wear and tear, while the goods are out of the possession of dealer. Customer agrees to pay a reasonable cleaning charge for equipment returned dirty.

In the event the lessee desires to extend this said lease beyond the date and time originally agreed upon, it is understood that the lessee will immediately notify the lessor of said desire and obtain their approval and terms for said extension.

Deposits are non-refundable and agreed upon at the time of proposal.

We agree that all charges for rentals will be paid one week prior to delivery or at time of customer pick up of merchandise. All credit is subject to prior approval. If a credit account is approved, all invoices must be paid in full by the 20th of the following month. A 2% per month penalty fee will be added to any past due and/or overdue invoices/accounts.

The lessee is responsible for all collection fees, attorney fees, court costs, or any expense involved in the collection of rental and/or replacement charges borne by lessee. There is a $100.00 charge to turn past due accounts over to collections. Attorney’s fees are 30% of the balance owing or 350.00, whichever is greater. A fee of 50.00 will be charged for all returned checks.

The lessor at its own discretion may report as stolen, all said equipment held beyond fifteen (15) days from return date, or before, if conditions indicate theft.

There are no cancellations five (5) working days prior to arranged delivery of event.

Tent Permits & Guidelines for Metro Richmond

 

Richmond City

Building permit needed for any tent over 900 square feet. Our Charge: $150.00.

Documents (in triplicate) required: 

  • Copies of flame retardency certificate
  • Floor plan for the tent (may be hand drawn)
  • Copy of insurance certificate
  • Plat of property to include tent placement (may be hand drawn)
  • Building permit application from the city

Products required to meet code: 

  • 2 fire extinguishers w/ signage
  • 2 emergency lights w/ exit signage

The city needs 2 weeks notice.

 

Charles City County

Building permit needed for any tent over 900 square feet. Our Charge: $150.00.

Documents (in triplicate) required: 

  • Copies of flame retardency certificate 
  • Floor plan for the tent (may be hand drawn) 
  • Copy of insurance certificate 
  • Plat of property to include tent placement (may be hand drawn) 
  • Building permit application from the city

Products required to meet code: 

  • 2 fire extinguishers w/ signage 
  • 2 emergency lights w/ exit signage

The county needs 2 weeks notice.

 

Chesterfield County

Building permit needed for any tent over 900 square feet. Our Charge: $150.00.

Documents (in triplicate) required: 

  • Copies of flame retardency certificate 
  • Floor plan for the tent (may be hand drawn) 
  • Copy of insurance certificate 
  • Plat of property to include tent placement (may be hand drawn) 
  • Building permit application from the city

Products required to meet code: 

  • 2 fire extinguishers w/ signage 
  • 2 emergency lights w/ exit signage

The county needs 2 weeks notice.

Currently, the county is actively enforcing code.

 

Goochland County

Building permit needed for any tent over 900 square feet. Our Charge: $150.00.

Any event over 200 guests needs a ‘Large Crowd Permit’. We will not get this permit for the client. The county needs 60 day notice.

Documents (in triplicate) required: 

  • Copies of flame retardency certificate 
  • Floor plan for the tent (may be hand drawn) 
  • Copy of insurance certificate 
  • Plat of property to include tent placement (must be from assessor’s office) 
  • Building permit application from the city

Products required to meet code: 

  • 2 fire extinguishers w/ signage 
  • 2 emergency lights w/ exit signage

The county needs 2 weeks notice.

Currently, the county is actively enforcing code.

 

Hanover County

Building permit needed for any tent over 900 square feet. Our Charge: $150.00.

Fire permit needed for any tent over 700 square feet. Our Charge $250.00.

Documents (in triplicate) required: 

  • Copies of flame retardency certificate 
  • Floor plan for the tent (may be hand drawn) 
  • Copy of insurance certificate 
  • Plat of property to include tent placement (may be hand drawn) 
  • Building permit application from the city

Products required to meet code (for 30 x 30 or larger multiply by 2): 

  • 1 fire extinguishers w/ signage 
  • 1 emergency light w/ exit signage

The city needs 2 weeks notice for building permit.

The county needs 1 week notice for fire permit.

Currently, the county is actively enforcing code.

 

Henrico County

Building permit needed for any tent over 900 square feet. Our Charge: $150.00.

Documents (in triplicate) required: 

  • Copies of flame retardency certificate 
  • Floor plan for the tent (may be hand drawn) 
  • Copy of insurance certificate 
  • Plat of property to include tent placement (may be hand drawn) 
  • Building permit application from the city

New Kent County
